For a neighborhood entrance or shared property, a useful Christmas lighting plan has five parts: the exact areas to decorate, a seasonal budget, a named decision-maker, a site and power review, and a written plan for maintenance and removal. Use this guide to prepare those details before requesting quotes.
01 The display
Choose the spaces residents will see.
Start with shared spaces the association manages: entrance signs, gatehouse or clubhouse rooflines, columns, and nearby bushes. List each entrance separately so a quote does not accidentally cover only one side of the neighborhood.
Make two lists: must-have areas and optional additions. For example, the entrance sign and its columns may be the priority, with clubhouse wreaths as a separately priced option. That gives the board a clear choice if the full wish list exceeds the budget.
- Identify the exact signs, roof edges, columns, bushes, wreaths or garland to include.
- Choose a preferred color and style, and share any community design rules.
- Confirm permission for every area, especially property shared with a developer, business or another association.

02 The budget
Budget for the full season.
Set a board-approved spending target before comparing designs. An HOA project is quoted for its actual entrances, buildings, lighting and access requirements. The residential starting price is not an estimate for a complete neighborhood display.
Give each installer the same scope and ask for optional areas to be priced separately. Compare design, lighting and equipment, installation, in-season maintenance, takedown and storage. Also confirm who owns the lights after the season and which charges, if any, sit outside the quoted total.

03 The calendar
Work backward from your preferred lights-on date.
Put the board meeting, quote review and decision deadline on the calendar. September and early October are useful planning windows; Unbeaten installations start in October. Availability depends on the schedule when you book.
- Before quote review: gather the photos, scope, budget and site restrictions.
- At the board meeting: approve the design, total and person authorized to confirm the booking.
- Before reserving a date: agree on the available installation window and any event or access requirements.
You can request a quote before the board votes. With Unbeaten, quote approval and a 20% deposit reserve an available installation date. The balance is due after installation and your review. A preferred lighting date or submitted quote request does not reserve a slot.
Share holiday events and any required removal deadline early. Confirm the agreed dates in the written quote rather than assuming a requested date is available.
04 The property
Send photos that show the whole setup.
Include one wide daytime photo of each entrance or building and closer photos of the features you want lit. Label the entrances or addresses so everyone is discussing the same location.
- Power: point out existing outdoor outlets and their locations. The installer needs to review the power and cord-routing plan; an outlet in a photo does not establish that it is suitable.
- Access: note gates, restricted hours, parking, deliveries, landscaping work and any areas that must stay clear.
- People and traffic: identify sidewalks, vehicle entrances and other busy areas that affect installation access.
- Coordination: name one board or property-management contact for site questions and approvals.
Do not include gate codes or other private access information in a worksheet shared publicly. Arrange any necessary access directly when the installation plan is confirmed.
05 After installation
Know who to call, and how the season ends.
Decide who will review the finished display and serve as the maintenance contact. If a section is out, a labeled entrance photo and a short description help identify the problem. Confirm the reporting method and service terms before booking.
Unbeaten includes in-season maintenance, January takedown and off-season storage of our lights. Tell us about any required removal deadline before approving the quote so we can review it. The association does not need to find storage space for Unbeaten-owned lighting.
Keep the approved design, written quote and any requested changes together for the next board. That makes next season's discussion easier even if the board or property manager changes.
